Your Roles & Responsibilities

EOR service delivery relies on close partnership between you, our clients, and Global Expansion, and this requires engagement across multiple core functions within your business.

Your staff fulfilling these functions will be responsible for completing key activities, described in more detail below, across the end-to-end lifecycle to enable service delivery.

In addition to these teams there is another crucial role, that of the Line Manager of each professional, responsible for the day-to-day management and direction of your professionals. The Line Manager is also likely to be responsible for approving expenses for reimbursement and time off requests.

Client Onboarding

Client Onboarding will require appropriate owners to complete the following activities:

Map stakeholders required to deliver services

Identify client personnel that are accountable and responsible for activities and decisions necessary for Global Expansion to deliver services.

Global Expansion will engage the correct people in all ongoing activities to facilitate high quality, timely service delivery.

Set employment contract preferred terms for professionals

Define key terms that are included in employment contracts.

Global Expansion will incorporate these preferred terms in draft employment contracts, where permitted in each jurisdiction, and accelerate employee onboarding.

Setup invoicing to fund payroll and variable payments to all professionals

Establish the invoicing process with Finance / Accounts Payable to define the bill-to legal entity, any requirement for purchase orders, credentials for AP systems, invoice cadence, formats and content etc.

Global Expansion will invoice and be paid on time to ensure payroll and other payments are funded and professionals receive their salary payments, expense reimbursements, bonuses and commissions in full and on time.

Understand equity and other non-cash compensation offered to professionals

Understand option agreements, equity plans etc that may generate additional income for professionals and incur tax liabilities.

Global Expansion will complete the tax reporting and withholdings required under local law for each professional.

Integrate systems to automate processes

Specify the integration between client and Global Expansion systems that will enable, support or facilitate service delivery.

Global Expansion will define the appropriate solution and work with your IT team to complete integration.

Professionals' Management

Managing your professionals, as employees through Global Expansion, will require appropriate business owners to complete activities throughout the employee lifecycle.

Recruitment & Onboarding

After you identify the individuals that you want to provide services in an EOR location the following activities must be completed:

Start professional hiring and onboarding processes

Provide information about the role and the individual you want to perform the role.

Global Expansion will make the offer of employment, draft the employment contract and contact the individual to gather documentation and commence background checks, if required.

Approve employment contracts

Review, amend as required, and sign off the employment contract that will be used with the professional.

Global Expansion will issue the employment contract to the professional for review and execution.

Execute schedules to the GX Global Services Agreement (GSA)

Review, amend as required, and sign off the schedule for the professional providing services.

Global Expansion will issue the schedule to you for execution.

Pay deposits for professionals

Review and make payment of the deposit invoice for the professional.

Global Expansion will receive funds to cover 1 or more months of payroll costs. This provides contingency funding for any timing issues paying monthly payroll invoices.

Enrol professionals in fringe benefits

Select the fringe benefits you want the professional to receive during their employment through Global Expansion.

Global Expansion will ensure the selected benefits are setup and the professional is enrolled, and has access to, the selected benefits, where applicable.

Ongoing Management

You will line manage the professional within your business which requires the following ongoing activities (these activities may recur monthly or be ad-hoc depending on the nature of your business and the professionals’ roles):

Manage professionals

Adjust the services, compensation or other terms of the professionals’ services.

Global Expansion will deliver employment contract amendments (and adjust payroll processing as appropriate).

Approve expenses for reimbursement

Review and approve expenses incurred by professionals while delivering the service.

Global Expansion will raise invoices to receive funds and reimburse the professional for approved expenses.

Reimbursements will be processed for tax and other financial or reporting implications.

Approve Paid Time Off (PTO) and other absences

Review and approve absence requests from professionals.

Global Expansion will record PTO and track PTO accruals during the PTO period.

Pay gross costs of employment

Review and make payment of invoices for the gross costs of services from professionals.

Global Expansion will pay the salary to the professional.

Pay bonuses and/or commissions (if applicable)

Confirm the bonus and/or commission amount due for the professionals’ delivery of the services.

Global Expansion will raise invoices to fund bonus or commission payments and, subject to receipt of funds, adjust payroll to include payments.

Termination

When you no longer require services from the professional the following activity must be completed:

Confirm details and circumstances of the termination.

Global Expansion will manage the end of employment with the professional until they are offboarded.

Payroll & Variables Funding

One of the most important elements of EOR service delivery is paying professionals their salaries, bonuses and commissions (if applicable), and reimbursing expenses. This is an exact parallel to the various payments you make to the employees of your business.

Just as you wouldn’t miss a salary payment, Global Expansion ensures that your professionals receive their salaries, and this is dependent on your timely payment of invoices. A payment calendar is published each year and meeting the cut-off dates and payment terms of each invoice is crucial to this process.

The roles and responsibilities of your finance and/or accounts payable team in the invoice to payroll cycle will be clarified and established during Client Onboarding.

Account Management

Regular account management reporting and meetings, with detailed service reviews, are a core component of Global Expansion’s service delivery. Your Client Services Manager will work with the appropriate stakeholders across your business to build relationships and manage all aspects of your account.
