Client Service Delivery

Once Client Onboarding is complete, Global Expansion partners with our clients for the entire duration that professionals are on our service.  This partnership requires ongoing activities, management and maintenance to ensure professionals are onboarded, supported and paid throughout their employment until, ultimately, they are offboarded.

GX1 Platform

The GX1 platform is the core system used for managing your service and your professionals on our service.  Further information about the system is available in the GX1 User Guide.

Initiating Professionals

New professionals that you want to provide services for you are initiated through GX1.  For more details about the initiation process refer to the Key Procedures for Managing EOR Professionals.

The information required is listed here: Employee Initiation Form.

If you need to initiate a large number of professionals then please contact your Client Services Manager for support with a Bulk Initiation.

Cost Projections

A cost projection is produced at initiation for every professional that will receive regular salary payments through Global Expansion.  Cost projections are updated every time there is a change to the professional's compensation and/or their tax and social security circumstances change.

Cost projections are not provided in some exceptional circumstances, such as individuals working ad-hoc hours or shifts, where payroll varies every month, and a reliable cost projection is not available.

ID&V Checks and Background Screening

The level of background screening required for professionals can be defined during Client Onboarding or on an individual basis at initiation.

Immigration

Immigration support, if requested, will be assessed on a case-by-case basis at initiation and discussed with you to determine the most appropriate way to proceed.

NOTE: In some countries it is essential to follow a very specific process at the point of offboarding a professional with immigration support to avoid complications, travel restrictions, additional fees and penalties.  You Client Services Manager will discuss this with you if applicable in your target locations.

Statutory & Enhanced Benefits

The benefits provided to professionals can be defined during Client Onboarding or on an individual basis at initiation.  Benefits are, generally, invoiced on a quarterly basis with pro-rata refunds when a professional is offboarded.

You will be contacted at contract renewal to confirm any change to costs, coverage or eligibility.

Paid Time Off (PTO)

PTO accruals and utilisation are tracked by Global Expansion to ensure professionals receive and take time off within their allocation and to support calculations at the end of the tax year and their employment contract.

If you use another platform of your choice actuals must be submitted to Global Expansion on a quarterly basis and at the end of a professional’s services.

Expense Management & Reimbursement

If you elect to use Rydoo as the expense management platform for your professionals then a Line Manager must review and approve expense submissions.  These are billed on a monthly basis and reimbursed through payroll.

Any other expenses must be processed via the Variable Declaration with sufficient supporting information to enable payroll processing.

Variable Payments (e.g. Bonuses and Commissions)

All variable payments, over and above a professional's base compensation, must be submitted as a Variable Declaration prior to the variables cut-off date in the payment calendar.

Base salary changes, that will be maintained month-on-month, are also submitted in the Variable Declaration.

Non-Cash Compensation (e.g. Equity)

Processing and the supporting processes are defined on a case-by-case basis by Client Solutions during Client Onboarding and agreed with you prior to commencing service.

You must adhere to the processes and timescales required to enable processing of relevant events and actions.

Contract & Role Amendments

Amending the terms of a professional's role, including changes to base salary, may affect their employment contract and must be handled through Global Expansion.  Refer to the Key Procedures for Managing EOR Professionals for more detail.

Any deviation from these procedures increases the risk that changes are not implemented successfully which may have financial and legal implications.

Termination

Terminating any professional on the service must be handled through Global Expansion to minimise the risk of additional costs and legal issues.  Refer to the Key Procedures for Managing EOR Professionals for more detail.

The costs associated with terminating services from a professional are, generally, linked to the seniority, or length of service, of the individual and are likely to be several month's gross costs of employment.  In some jurisdictions the market norm for termination settlement payments may be considerably higher than the statutory minimum suggests.

Please discuss terminations with your CSM if you have any concerns about the process, timescales and costs involved.
